Your rights

In accordance with the GDPR, you shall have the following rights regarding the processing of your personal data:

The consents to the data processing shall apply without any restrictions; however, you may revoke your consents at any time with effect for the future in text form without stating reasons and without this causing you any disadvantage.

Website Hosting

The server of this website is operated and technically maintained by the company Raidboxes GmbH on behalf of the ZBW. The ZBW has entered into an agreement on commissioned data processing with the company Raidboxes GmbH, (in compliance with Article 28 of the GDPR). The personal data is processed in German data processing centres. To obtain information from the provider or to claim your rights against the provider, please contact them directly. Tracking

The ZBW uses the Matomo service to analyse usage data on this website. This service is configured to use cookie less tracking by default. The processing of the data is necessary for the optimisation of this website and is based on Article 6 section 1 lit. f of the GDPR. Data that allows us to reference individual persons are anonymised or pseudonymised as soon as possible. We will not use the data for other purposes, will not combine it with other data and will not forward it to third parties. 

You can revoke the described processing of the data for the purpose of optimising this website without having any disadvantages.

You may choose to prevent this website from aggregating and analyzing the actions you take here. Doing so will protect your privacy, but will also prevent the owner from learning from your actions and creating a better experience for you and other users.

Server log files

This website is operated by the ZBW in the scope of performing their tasks in the public interest in accordance with Article 6 (1) (e) of the GDPR in conjunction with Section 2 of the Foundation Formation Statute of the ZBW [Stiftungserrichtungsgesetz der ZBW, StiftZBWErG SH]. In order to safeguard the security of the processing, the ZBW will record personal data in server logfiles if you access this website and use its services. In that context, the following data may be processed temporarily:

  • IP address and internet service provider;
  • date and time of the page view;
  • address of the viewed page and address of the page referring to the viewed page (referrer);
  • name and version of the used browser and the operating system.

The server logfiles will be stored on the system as long as necessary for achieving the relevant purpose. After that, the data will either be erased or anonymised. In principle, personal data contained in these logfiles will not be passed on to third parties. In the case of attacks to the IT infrastructure, we will use this data for pursuing our rights and for prosecution, if necessary.

E-Mails/Contact form

If you send us an e-mail, we will use your e-mail address only for corresponding with you. After the end of correspondence, your e-mail address will be deleted. It will not be used for other purposes or transmitted to third parties. We also advise you that unauthorised access and falsification are possible if  e-mails are transmitted without encryption.

Grant procedure

The decision on funding by OLEcon is made in a grant procedure. The personal data processed in this process are processed by the ZBW exclusively for the grant procedure, are not forwarded to third parties and are deleted following the post-processing of the grant procedure.

In the event of funding by OLEcon, personal data will also be processed by the ZBW. In this case, the processing is based on Article 6 section 1 lit. f of the GDPR.

TIB Open Publishing

For the use of TIB Open Publishing, the ZBW has signed an agreement on joint responsibility in the sense of clause 26 GDPR with its cooperation partner Technische Informationsbibliothek (TIB). The ZBW is responsible for all technical and organisational measures of first-level support and is first point of contact for all editors, reviewers and authors of the OLEcon journals. The TIB is responsible for the operation of the TIB Open Publishing platform and for second-level support.

Video conferences

The ZBW uses video conference services in order to conduct meetings, events, online-seminars or telephone conferences, during which personal data will be processed. The type of personal data depends on which data you enter on the relevant provider’s platform prior to or during the conference. For example, the following data may be processed:

Personal details: name, surname, email address, password, telephone number, profile photo
Meeting data: designation and description of the conference, IP addresses, device information
When joining by telephone: telephone numbers, connection details

When using the chat function, the text you have entered will be processed and may be stored until you delete it manually. When using the audio and video function, the images recorded by your video camera and your audio data will be passed through the provider’s servers and will be processed for conducting the conference. You may disable your camera and microphone during a conference at any time using the settings of your computer. The video conference services enable the recording of conferences. In principle, the ZBW will not record any conferences. If the ZBW should deviate from this in individual cases, you will be informed of this comprehensively prior to the recording and, if required, we will request your consent.

The legal basis for the processing of the personal data in the scope of video conferences shall be Article 6 (1) (e) of the GDPR in conjunction with Section 2 of the Foundation Formation Statute of the ZBW. The ZBW will process personal data of employees in accordance with Section 15, subsection 1 of the data protection law of the German federal state of Schleswig-Holstein. If events are held on the basis of a contract, Article 6 (1) (b) of the GDPR shall form the legal basis.

The ZBW will not pass your personal data on to third parties unless expressly communicated in advance. During the conferences, your personal data (such as name, surname, video and audio data) may be – at least partially – inspected by the participants.

Zoom

The ZBW has entered into an agreement on commissioned data processing (in compliance with Article 28 of the GDPR) with Zoom. In the scope of the contract, an adequate level of protection was guaranteed additionally by using EU Standard Contractual Clauses. Zoom has been configured to use European data processing centres for the video conferences.

Cisco Webex

The ZBW has entered into an agreement on commissioned data processing (in compliance with Article 28 of the GDPR) with Telekom regarding the use of Cisco Webex. Cisco is a subcontractor of Telekom. It has been contractually agreed that exclusively European data processing centres will be used for the video conferences. Depending on the type of conference, the ZBW offers end-to-end encrypted or transport-encrypted video conferences.

Surveys

The ZBW uses survey services for example for research or marketing purposes, to optimize our own services or in the context of events for the participation of attendees. The type of personal data depends on the purpose of the survey and may vary for different surveys.

Generally we ask for your consent to participate before conducting a survey. You can find more specific information in the data protection notices for the various surveys.
